Welcome to EquiPassport. By creating an account or using the service, you agree to these terms. If you don't agree, please don't use EquiPassport.

1. What EquiPassport Is

EquiPassport is a web-based record-keeping tool. It lets horse owners maintain digital health records, generate downloadable documents, and share information about their horses with people they choose. That's it. Think of it as an organized notebook, not a medical service.

2. What EquiPassport Is NOT

  • Not veterinary advice. EquiPassport is not a vet, does not replace a vet, and does not provide medical advice. Always consult your veterinarian for actual healthcare decisions.
  • Not an emergency service. We do not contact emergency services on your behalf, do not dispatch help, and do not guarantee that anyone will see, read, or act on information you store. In a real emergency, dial 911 for human emergencies or contact your local emergency management agency for animal evacuation assistance.
  • Not a guarantee of accuracy. All information in EquiPassport is entered by users. We do not verify, validate, or audit any of it. Information may be inaccurate, incomplete, or outdated.
  • Not a substitute for original documents. Official records (Coggins tests, registration papers, insurance policies, vet records) originate from other parties. EquiPassport may store copies, but the originals from those issuing bodies are the legal records.

3. Your Responsibilities

You agree to:

  • Keep your account credentials secure
  • Provide accurate information — especially for emergency plans
  • Keep your records current, particularly anything safety-critical
  • Use the service lawfully
  • Not upload content you don't have the right to share
  • Not use EquiPassport to harass, defame, or harm anyone

4. Hurricane Emergency Plan — Special Disclaimer

The Hurricane Emergency Plan feature lets you organize information so it can be printed and shared. It is your responsibility to:

  • Keep the emergency information current. We recommend reviewing every 90 days and before each hurricane season.
  • Physically print, laminate, and attach the halter tag before storm season — not during.
  • Distribute the full plan PDF to your trusted contacts before you need it.
  • Have a real, tested evacuation plan that does not depend solely on EquiPassport.
  • Understand that during hurricanes, internet and power outages may make the live service inaccessible — your downloaded PDFs are your only guaranteed access.

EquiPassport, its founders, employees, and contractors disclaim all liability for:

  • Any harm, injury, or death of any animal or person related to use of, or failure to use, the Emergency Plan feature
  • Inability to access the service during an emergency
  • Errors or omissions in user-provided emergency information
  • Actions or inactions of any third party (emergency responders, neighbors, veterinarians, etc.) based on information from EquiPassport

You acknowledge that EquiPassport is a convenience tool, not a safety system, and that primary responsibility for your horse's emergency preparedness rests entirely with you.

5. Your Content

You retain ownership of everything you upload. By using EquiPassport, you grant us a limited license to store, display, and process your content solely to provide the service to you. We don't sell your data. We don't share it with anyone you didn't authorize.

When you share a passport link, the recipient can see whatever's on the passport. That's by design.

6. Privacy

How we handle your data is explained in our Privacy Policy.

7. Service Availability

We try to keep EquiPassport running continuously, but we cannot guarantee it. The service may be unavailable due to maintenance, power outages, internet outages, hurricanes, hardware failures, issues with third-party providers (such as Cloudinary or our hosting provider), or events outside our reasonable control.

You acknowledge that EquiPassport may be unavailable when you most need it (such as during a hurricane), and that you are responsible for keeping offline copies of any critical information.

8. Limitation of Liability

To the maximum extent permitted by law:

  • EquiPassport is provided "AS IS" and "AS AVAILABLE" with no warranties of any kind, express or implied.
  • We are not liable for any direct, indirect, incidental, special, consequential, or punitive damages.
  • Our total liability for any claim related to EquiPassport is limited to the amount you have paid us in the past 12 months (currently $0 during beta).
  • Some jurisdictions don't allow these limitations — in those cases, our liability is limited to the maximum extent permitted by law.

9. Indemnification

You agree to defend, indemnify, and hold harmless EquiPassport, its founders, and contractors from any claims, damages, or expenses (including reasonable attorney fees) arising from your use of the service or your violation of these terms.

10. Account Termination

You can delete your account at any time by contacting us. We can suspend or terminate accounts that violate these terms, with or without notice.

11. Changes to These Terms

We may update these terms. If we make material changes, we'll notify users via email or a prominent notice. Continued use of EquiPassport after changes means you accept the new terms.

12. Governing Law

These terms are governed by the laws of the State of Florida, USA, without regard to conflict-of-law rules. Any disputes will be resolved in the courts of Marion County, Florida.
