Privacy Policy
What we collect, what we do with it, what we don't do.
The short version: We collect what you tell us, use it to run the service, never sell it, and you can delete it anytime.

What We Collect
- Account info: your name, email address, and a hashed password (we never see or store your actual password).
- Horse passport info: whatever you choose to enter — horse name, breed, photos, health records, emergency plans, etc.
- Server logs: standard server logs including IP address, browser type, and pages visited, used for security and troubleshooting.
We do NOT collect: location data from your device, contacts from your phone, payment information (during beta), or data from third-party services unless you explicitly connect them.
How We Use It
- To provide the service (showing your horses, generating PDFs, sharing passports, etc.)
- To send essential account emails (welcome, password reset, account changes)
- To troubleshoot problems
- To improve EquiPassport
We do NOT use your data to train AI models, profile you for advertising, or build a marketing database to sell.
Who Has Access
- You — to everything you've added
- People you explicitly share with — care team members you add, anyone you send a passport link to
- EquiPassport staff — only when troubleshooting, with your knowledge, or when required by law
- Cloudinary — our image storage provider stores the photos and documents you upload. Their privacy policy: cloudinary.com/legal/privacy
- Our hosting provider — the server EquiPassport runs on. They don't access your data, but technically it resides on their hardware.
We do not sell your data. We do not share with advertisers, insurance companies, vet practices, or anyone else without your explicit action (sharing a passport link, adding a care team member, etc.).
How Long We Keep Data
As long as your account is active. When you delete your account, we delete your data within 30 days. Backup copies may persist for up to 90 days before being purged.
Your Rights
You can:
- Access and edit your data anytime through the app
- Download your data (PDF exports of passports)
- Delete your account by contacting us
- Ask questions about your data
If you're in California, the EU/UK, or other jurisdictions with specific privacy rights (CCPA, GDPR, etc.), those apply. Contact us to exercise them.
Cookies
We use a single session cookie to keep you logged in. We do not use tracking cookies, advertising cookies, or third-party analytics that follow you across other websites.
Children
EquiPassport is not intended for users under 13. If we learn we've collected data from someone under 13, we'll delete it. Parents can contact us to request removal.
Changes to This Policy
If we make significant changes to this policy, we'll notify users via email or a prominent notice. Minor updates may happen without notice — we'll keep the "Last updated" date current.
